Introduction

Quiz Platform — Collaborator Guide

Introduction

This manual is written for Collaborators — people who have been granted permission to create and edit quiz content on the platform. It explains what the Quiz Editor can do, what actions a Collaborator can take independently, and where Administrator involvement is required.

Read through the full manual before your first session, then keep the Quick Reference section handy for day-to-day work.

What is the Quiz Platform?

The Quiz Platform is a web-based system for delivering JSON-formatted quizzes to licensed users. Quiz content is stored as structured JSON files on the server. The platform controls which quizzes each user can access through a license key system.

There are three user roles:

Administrator

Full control over licenses, quiz files, and user access. Can access Quiz Admin and Quiz Editor.

Collaborator ← You

Can create and edit assigned quiz files in the Quiz Editor. Cannot manage licenses or grant user access.

User

Can take quizzes they have been licensed to access. Cannot edit any content.

Administrator actions Any row marked with a dash (—) in the Collaborator column requires you to contact an Administrator. The most important of these is granting licensed users access to a new quiz you have created.

Signing In

The Quiz Editor is a separate application from the Quiz itself. Access it by navigating to:

https://your-domain.com/quizme/quiz-editor.php

Authentication

The editor displays a sign-in screen with a license key field. Your license key is the personal key assigned to you by the Administrator — it identifies you and determines which quiz files appear in your editing panel.

Important Only Collaborator and Administrator keys can sign in to the Quiz Editor. A standard User key will be rejected with an "insufficient role" message. If your key is rejected, contact the Administrator to confirm your role assignment.

What you see after signing in

After a successful sign-in the editor opens with:

  1. A left sidebar listing all quiz files you have been given edit access to
  2. A top navigation bar with two sections: Edit Quiz and File Operations
  3. A New Quiz button at the bottom of the sidebar, always visible
  4. Your name and a Collaborator role chip below the logo
Session persistence Your sign-in session persists across page reloads during the same browser session. You will be signed out automatically when you close the browser, or when you click Sign out in the sidebar footer.

If the sidebar shows "No editable quizzes yet"

This means no quiz files have been assigned to your account's editableQuizzes list yet. This is normal for a brand-new Collaborator account. You can still create a new quiz using the New Quiz button — that quiz will be added to your list automatically. Alternatively, the Administrator can assign existing quiz files to your account.

Editor Overview

The Quiz Editor is divided into two main sections, selected from the top of the left sidebar navigation:

Edit Quiz

The main editing workspace. Select a quiz from the sidebar, edit its header and questions, and save changes.

File Operations

Upload quiz JSON files from your computer, or download quiz files for offline editing or backup.

The Edit Quiz workspace

When you select a quiz from the sidebar, the workspace loads three areas:

Quiz Header

Edit the quiz title and description. Save independently using Save Header.

Question Editor

Edit the current question, its answer options, correct answer(s), and explanation.

Question List

A collapsible left panel showing all questions. Click to navigate; drag to reorder.

Save button behavior

Both the Save Header and Save Question buttons are intentionally grayed out until you make a change. This prevents accidental saves and makes it visually clear when edits are pending.

  • Gray button — no unsaved changes; nothing to save
  • Green button — unsaved changes are present; click to save
  • Orange dot in the question list — that question has unsaved changes
  • "Unsaved changes" banner in the top bar — either header or question has pending edits
Each save is immediate There is no staging or draft mode. When you click Save Header or Save Question, the change is written directly to the quiz file on the server. Work carefully, especially when editing an existing quiz that users may currently be accessing.

Navigating away with unsaved changes

If you try to navigate to a different question while the current one has unsaved changes, the editor will prompt you with three options: Cancel (stay on the current question), Discard & Continue (lose your changes), or Save & Continue (save before moving). The browser will also warn you if you try to close or reload the tab.

Creating a Quiz

There are two ways to create a new quiz as a Collaborator: build one from scratch in the editor, or upload an existing JSON file through File Operations.

Method 1 — Build from scratch

  1. 1
    Click New Quiz in the bottom of the left sidebar. This button is always visible regardless of which section you are in.
  2. 2
    Enter a Quiz Title. As you type, the filename field below auto-fills with a suggested name (e.g. My New Quiz.json). You can edit this manually.
  3. 3
    Confirm the filename. The editor checks in real-time that the filename is not already in use. A green confirmation message appears when the name is available.
  4. 4
    Click Create Quiz. The file is created on the server, added to your editable quiz list in the sidebar, and the editor opens it immediately.
  5. 5
    Edit the header. The Quiz Header panel is shown first. Add a description if desired, then click Save Header.
  6. 6
    Add questions using the Add Question button in the question list panel. See the Editing Questions section for details.
Automatic license registration When a Collaborator creates a new quiz, the system automatically adds that quiz filename to your editableQuizzes and allowedQuizzes entries in the license database. The quiz does not appear in any other user's quiz list until an Administrator explicitly grants access.

Method 2 — Upload a JSON file

  1. 1
    Go to File Operations in the top sidebar navigation.
  2. 2
    Drop a file onto the upload zone, or click the zone to browse for a file. Only .json files are accepted.
  3. 3
    Validation runs automatically. The editor checks JSON syntax and confirms the file has the required quiz root structure and a title. Errors are displayed immediately; the file is not uploaded if validation fails.
  4. 4
    Review the result card. On success, it shows the quiz title, question count, and any warnings (e.g. questions with no correct answer set).
  5. 5
    Click Open in Editor to switch directly to the Edit Quiz section with the uploaded file loaded.
Validation warnings A quiz can be uploaded even if some questions have no correct answer set — this is flagged as a warning, not an error. Always review and fix these before asking the Administrator to make the quiz available to users.

Required JSON structure

If you are preparing a quiz file externally (in a text editor or another tool) before uploading, it must follow this structure:

{
  "quiz": {
    "title": "Your Quiz Title",
    "description": "Optional description",
    "questions": [
      {
        "id": "1",
        "question": "Question text here",
        "options": ["Option A", "Option B", "Option C", "Option D"],
        "answer": "Option A",
        "comment": "Optional explanation shown after answering"
      }
    ]
  }
}

For multiple correct answers, answer should be a JSON array: ["Option A", "Option C"].

Editing Questions

Loading a quiz to edit

Click any quiz title in the left sidebar. The editor opens the quiz header and displays the first question. If the sidebar is empty, you have no quizzes assigned to your account yet — use New Quiz or contact the Administrator.

Anatomy of a question

Each question in the editor has five editable components:

ComponentWhat it does
Question TextThe stem of the question displayed to the user
Answer TypeSingle — one correct answer only. Multi — one or more correct answers. Switching type automatically converts the stored answer format.
Answer OptionsThe list of choices shown to the user. Add, remove, reorder by drag, and edit text inline.
Correct Answer(s)Click the circle next to an option to mark it as correct. The circle turns green (single) or blue (multi). The editor validates that the answer value matches an option before allowing a save.
ExplanationOptional text shown to the user after they answer. Use this to explain why the correct answer is right or reference a source.

Adding and removing options

Click Add Option below the options list to add a new blank option. The cursor moves directly to it. To remove an option, click the × button on the right of that row. You cannot remove an option if it is the only one remaining.

Drag options by their handle (the dot grid on the left) to reorder them. If a reordered option is the current correct answer, the answer reference updates automatically.

Navigating between questions

Use the Previous and Next arrows at the bottom of the editor, or click any question number in the question list panel on the left. If the current question has unsaved changes, you will be prompted before the navigation completes.

Duplicating a question

The Duplicate button creates an exact copy of the current question and inserts it immediately after. The copy is saved to the file right away. Useful when creating a set of similar questions.

Deleting a question

Administrator only The Delete button is hidden for Collaborators. If you need a question removed, contact the Administrator and provide the quiz name and question number or text.

Reordering questions

In the question list panel, drag any question row up or down to reorder it. The change is saved to the file immediately. If you have unsaved changes on the current question, you will be prompted to save or discard them first.

File Operations

The File Operations section (accessible from the sidebar navigation) provides two capabilities: uploading quiz files and downloading quiz files.

Uploading a quiz file

The upload zone accepts .json files via drag-and-drop or click-to-browse. Validation occurs in two stages:

  1. 1
    Client-side validation runs instantly in the browser. It checks that the file is valid JSON syntax and has the required quiz root key and quiz.title field. If either check fails, the file is rejected before any data is sent to the server.
  2. 2
    Server-side validation re-confirms the JSON structure after upload. This is a safety check in case of any inconsistency.
  3. 3
    The result card appears showing the quiz title, question count, and any warnings such as questions with no answer set.
  4. 4
    If the file is new, it is automatically added to your editable and allowed quiz lists in the license database — the same as creating a quiz from scratch.
  5. 5
    If the file already exists, the existing file is replaced. Use this to push a revised version of a quiz you have edited offline.
Replacing an active quiz If you upload a file that already exists and users are currently taking that quiz, they will receive your new version on their next question load. Coordinate with the Administrator if you need to update a live quiz with minimal disruption.

Downloading a quiz file

The Download section lists all quizzes in your editable list. Click Download next to any quiz to save its raw JSON file to your computer. This is useful for:

  • Keeping a local backup before making major edits
  • Editing the file in a text editor or spreadsheet tool for bulk changes
  • Sharing the quiz content with someone outside the platform
  • Version control — storing revisions in a folder on your computer
Recommended backup workflow Before making large structural changes to a quiz, download it first. If something goes wrong, you can upload the backup copy to restore the original state.

Publishing Workflow

Creating or editing a quiz in the editor does not automatically make it available to users. The steps below show the full path from a new quiz idea to licensed users being able to take it.

Key principle A Collaborator controls the content of a quiz. An Administrator controls who can access it. Both roles must act for a quiz to reach users.

Full workflow: new quiz from creation to delivery

C
Collaborator
Create the quiz file

Use New Quiz or File Operations to create the JSON file. The file exists on the server but is only accessible to you.

C
Collaborator
Build and review all questions

Add all questions, set correct answers, write explanations. Navigate through every question and confirm all Save Question buttons have been clicked. Check that no questions show the "No correct answer" warning.

C
Collaborator
Download and self-review

Use File Operations to download the quiz file. Open it in a text editor or review tool to verify structure, spelling, and answer correctness before submission.

C
Collaborator
Notify the Administrator

Send the Administrator the exact quiz filename (e.g. Leading SAFe.json), the intended audience (which license keys or groups should receive access), and any expiry or scheduling requirements.

A
Administrator
Review the quiz in Quiz Admin

The Administrator uses the Quiz Files tab in Quiz Admin to preview the quiz, verify question count and content, and confirm it is ready for distribution.

A
Administrator
Add the quiz to user license allowedQuizzes

In the Licenses tab, the Administrator edits each relevant license and adds the new quiz filename to the allowedQuizzes multi-select. This makes the quiz appear in those users' quiz dropdown when they sign in with their key.

✓
System
Quiz is live

Licensed users can now select and take the quiz. Usage is logged automatically. The Collaborator retains edit access and can push updates at any time.

Updating an existing quiz that is already live

Because saves are immediate, any change you make to a quiz that is already in users' allowed lists takes effect right away. No Administrator action is needed for content updates — only for access changes. Follow these guidelines:

  • Fix typos, update answer explanations, or adjust wording freely
  • If adding or removing questions significantly, inform the Administrator so they can update any documentation or user communications
  • If changing correct answers, consider whether users who already took the quiz will be affected
  • Download a backup before major structural changes
When to contact the Administrator You must contact the Administrator if: a new quiz should be added to any user's allowed list; an existing quiz should be removed from access; the quiz should be shared with a new user group; or the quiz file needs to be permanently deleted.

Shared Editing

Multiple Collaborators can be given edit access to the same quiz file. This allows teams to divide work across a large question set or review each other's content.

How shared access works

The Administrator adds the same quiz filename to the editableQuizzes list of each Collaborator who should have access. Both Collaborators will then see the quiz in their sidebar and can open and edit it.

No real-time locking The editor does not prevent two people from editing the same quiz simultaneously. If two Collaborators save different changes at the same time, the last save wins and the other's changes may be lost. Coordinate with co-editors to avoid working on the same questions at the same time.

Recommended practice for shared quizzes

  1. 1
    Divide the question set — Agree in advance which Collaborator is responsible for which range of questions (e.g. Q1–Q20 vs Q21–Q40).
  2. 2
    Communicate before editing — Let co-editors know when you are starting a session on a shared quiz, especially for a quiz that is already live.
  3. 3
    Download before bulk changes — If making large structural changes, download a copy first and share it with co-editors so they have a reference.
  4. 4
    Save frequently — Save each question before moving to the next to minimize the window of potential conflict.

Requesting shared edit access

Only an Administrator can grant a Collaborator edit access to a quiz. If you need access to a quiz created by another Collaborator, contact the Administrator with:

  • Your license key (so the Administrator knows which account to update)
  • The exact filename of the quiz you need access to
  • The reason for the request (e.g. peer review, additional questions)

What a Collaborator cannot do even with shared access

Shared edit access only grants the ability to edit questions. Even as a shared editor, you cannot:

  • Delete questions (Administrator only)
  • Delete the quiz file from the server
  • Change who else has access to the quiz
  • See the activity log for the quiz

Collaborator Limits

This section summarizes everything a Collaborator cannot do independently and must request from an Administrator.

Things that always require an Administrator

ADMIN ONLY
Making a quiz accessible to users
Creating a quiz file does not give any user the ability to take it. An Administrator must add the filename to each intended user's allowedQuizzes list in the license database.
ADMIN ONLY
Removing a quiz from user access
If a quiz should no longer appear in a user's list, the Administrator must remove the filename from their allowedQuizzes.
ADMIN ONLY
Deleting questions
The Delete button is hidden in the editor for Collaborators. Provide the Administrator with the quiz name and question number(s) to remove.
ADMIN ONLY
Deleting a quiz file from the server
Only an Administrator can permanently remove a quiz file. If a quiz should be retired, notify the Administrator with the filename and the reason.
ADMIN ONLY
Granting another Collaborator edit access
You cannot add another person to a quiz's editor list. The Administrator manages editableQuizzes assignments for all accounts.
ADMIN ONLY
Viewing usage and activity logs
Quiz usage statistics and user activity are visible only in the Quiz Admin console, which requires an Administrator role to access.

What to include when contacting the Administrator

To minimize back-and-forth, include the following information whenever you request an Administrator action:

Request typeInformation to include
Make quiz available to usersExact filename · Target license keys or user group names · Any expiry date for access
Remove quiz from accessExact filename · Which license keys should lose access
Delete a questionQuiz filename · Question number and first 10 words of question text
Delete a quiz fileExact filename · Reason for deletion · Confirmation that no active users should retain access
Add a co-editorQuiz filename · The co-editor's license key
